1. Who we are
Amadin Agency ("we", "us", "our") is a marketing, website and automation agency. We are responsible for the personal information we collect through this website and in the course of providing our services.
2. Information we collect
Information you give us
When you contact us, book a consultation or become a client, we may collect:
- Your name, business name, email address and phone number
- Your website address, business type and the services you're interested in
- Anything you choose to tell us about your business and its challenges
- Billing and contract details if you become a client
Information collected automatically
When you visit our website, we and our service providers may automatically collect technical information such as your IP address, browser and device type, pages visited, the website that referred you, and how you interact with our forms. This is collected through cookies and similar technologies (see section 10).
3. How we use your information
- To reply to your message and prepare for any consultation you book
- To provide, manage and improve the services you've hired us for
- To send you service messages, such as booking confirmations and reminders
- To send you marketing emails, only if you have opted in
- To invoice you and keep business and tax records
- To understand how our website is used and improve it
- To protect our website from spam, fraud and misuse, and to meet legal obligations
We do not sell your personal information.
4. Consent and marketing messages
We collect, use and disclose personal information with your consent, except where the law allows otherwise. By submitting a form on our website, you consent to us using your details to respond to that request.
We only send marketing emails or texts if you have given express consent, such as by ticking the optional opt-in box on our contact form. Every marketing message includes a way to unsubscribe, and we process unsubscribe requests within 10 business days. You can withdraw your consent at any time by unsubscribing or contacting us.
5. Who we share information with
We share personal information only as needed to run our business and deliver our services, including with:
- Service providers who work on our behalf, such as our customer relationship management (CRM) and marketing automation platform, website hosting, email and text message delivery, calendar and booking tools, analytics, and payment processors
- Professional advisers such as accountants and lawyers, where necessary
- Authorities where required by law, or to protect our rights, property or safety
- A buyer or successor if our business is sold or reorganized, subject to this policy
Our service providers may only use your information to provide services to us and must protect it. Mobile numbers and text-messaging consent are never shared for marketing — see section 6.
6. Text messages (SMS)
If you tick the optional box on our contact form, we'll text you about your enquiry and appointments at the number you provide. We keep a record of your consent, including the wording you agreed to and when. Message frequency varies, and message and data rates may apply. Reply STOP at any time to opt out, or HELP for help.
We do not sell, rent or share mobile phone numbers, or text-messaging opt-in data and consent, with third parties or affiliates for their marketing or promotional purposes. We only share this information with the service providers that deliver our messages (such as our messaging platform), and only so they can provide that service. All of the categories of sharing described in this policy exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties.
7. Storage outside Canada
Some of our service providers store or process information outside Canada, including in the United States. While there, your information may be accessible to courts, law enforcement and national security authorities of that country under its laws.
8. Information we handle for our clients
When we set up and manage systems for our clients, we may handle personal information about their customers and leads (for example, contact details submitted through a client's website). In those cases we act on our client's behalf and follow their instructions. The client is responsible for its own privacy practices and notices. Questions about that information should go to the business you dealt with.
9. How long we keep information and how we protect it
We keep personal information only as long as needed for the purposes above, or as required for legal, tax and accounting reasons. Enquiries that don't become clients are generally deleted or anonymized within 24 months.
We use reasonable physical, organizational and technical safeguards, such as access controls and encrypted connections, to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. Cookies and analytics
Our website uses cookies and similar technologies to make the site work, remember your preferences, measure visits and form submissions, and understand which of our marketing is effective. We may also load web fonts from third-party providers, which receive your IP address when the font loads. You can block or delete cookies in your browser settings, though some parts of the site may not work as intended.
Analytics (such as Google Tag Manager and Google Analytics) only load if you click "Accept" on our cookie banner. If you decline, they don't load. To change your choice, clear this site's data in your browser and reload the page.
We use Cloudflare Turnstile on our contact form to help prevent spam and automated abuse. Cloudflare processes technical browser and device information to perform this verification. See Cloudflare's Privacy Policy.
11. Your rights
You can ask us to:
- Tell you what personal information we hold about you and how it's been used
- Correct information that is inaccurate or incomplete
- Withdraw your consent, subject to legal or contractual limits

12. Children
Our website and services are intended for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 16.
